The Concept

What a Contact Form Campaign Is

A contact form campaign is a structured, organized outreach effort targeting a defined list of businesses with a consistent message and controlled pacing. It's not ad hoc — it's planned outreach with a target list, a message, a daily limit, and a review workflow. The campaign structure is what separates a deliberate outreach strategy from one-off manual submissions.

A campaign has four components:

Target List

The businesses you're reaching. Either sourced from Loylty's built-in database — searchable by niche, city, and state — or imported via CSV with your own research. Every business on the list gets one submission per campaign.

Message Template

Your outreach message. Can be a static template sent verbatim to every business, a template with personalization variables that pull from list data, or AI-generated per business using Loylty's message engine. More on this below.

Daily Limit

How many submissions go out each day. Controls pacing, prevents over-reaching a market segment, and gives you time to see early responses before the full campaign runs. You can adjust the daily limit mid-campaign without stopping it.

Review Queue

Every submission requires human approval before sending. The review step is mandatory, not optional. This is your quality control layer — it ensures no message goes out that you haven't personally approved.

The campaign format gives you control that ad hoc outreach never provides. You can pause mid-campaign, adjust the message based on early responses, and compare performance across campaigns targeting different industries or geographies. This is what converts outreach from a chaotic activity into a measurable strategy.

Campaign Design

Campaign Anatomy: The Five Elements of a High-Performing Campaign

1. Target Definition

The narrower your targeting, the better your results. "Fence contractors in Texas" beats "contractors." "HVAC companies in Florida with fewer than 50 employees" beats "HVAC companies." Specificity matters because it determines message relevance. When your message is written for a specific type of business in a specific location, it sounds like it was written for them — because it was.

Loylty's database lets you filter by business category and location. Import your own CSV to target businesses you've identified through your own research or sourced from other tools like Apollo or ZoomInfo.

2. Message Template

The message is everything. A bad message to the right businesses fails. A great message to the wrong businesses fails. A great message to the right businesses works. The template needs: a specific opening that shows you know something about their industry, a clear value proposition in plain language, a specific and low-friction ask, and your real contact information. Nothing in the message should require the recipient to guess who you are or why you're contacting them.

3. Daily Limit

Loylty caps daily submissions per campaign. For most use cases, 25–100 submissions per day is the right range. Starting lower gives you time to see early responses before scaling. If you're getting replies, your message is working and you can increase the limit. If you're not getting replies after 50 submissions, something needs to change before you spend more submissions finding out. The daily limit is your feedback throttle.

4. Review Queue

The review queue is your quality control layer. Treat it seriously. If a generated message looks generic or doesn't apply to this specific business, reject it and let the AI generate a new one, or edit it manually before approving. If the business clearly doesn't fit your offer — wrong size, wrong geography, wrong service type — skip it. The 30 seconds you spend reviewing each submission is the difference between a good campaign and a mediocre one.

5. Response Tracking

After submissions go out, businesses will reply via the email address you provided in the form. Loylty logs what's been sent — business name, URL, submission timestamp, and status. The response management happens in your existing workflow: your email client, your CRM, your existing sales process. Loylty doesn't try to replace those tools. It feeds the top of the funnel; you handle everything downstream.

Messaging Modes

Template Strategy: Generic vs Personalized vs AI

Loylty supports three message modes. Each has a different speed-to-relevance tradeoff. Understanding which mode to use for a given campaign will meaningfully affect your results.

Generic Template

Same message sent to every business in the campaign. Fastest to set up — you write the message once and it goes out unchanged. Lowest results of the three modes. Acceptable for very targeted campaigns where every recipient is highly qualified and the message is inherently specific to their situation (for example, targeting only a single industry in a single city with a message that only applies to that exact niche). The moment your list becomes even slightly heterogeneous, generic templates start to feel generic to the reader — and they respond accordingly.

Variable Personalization

Template with merge fields like {business_name}, {city}, and {industry}. These merge with your list data at submission time. Faster to set up than AI mode, more relevant than generic. Good for mid-volume campaigns where you have clean list data and want personalization without per-business AI processing time. The quality ceiling is limited by your merge field options — you can only personalize as much as your list data allows.

AI-Personalized

Loylty's AI generates a unique message for each business, based on your template guidelines and the business's own website content. The AI reads their site, identifies what they do and how they present themselves, and writes a message that references their specific situation. This produces the most relevant messages and the best response rates across the three modes. It takes slightly longer per submission since it requires reading the business's website before writing the message — but the quality improvement is substantial and visible in the review queue. This is the recommended mode for most campaigns.

Recommendation: Start with AI-personalized on your first campaign. The improvement in message quality is obvious when you see it in the review queue. Once you've found a message structure that works, you can shift to variable personalization for higher-volume campaigns where AI processing time is a constraint.
Advanced Strategy

Running Multiple Campaigns Simultaneously

Most power users run 3–5 campaigns simultaneously, each targeting a different segment. This is the most efficient way to use Loylty because it lets you generate comparative data across segments rather than running tests sequentially.

Example setup for a home services agency:

Different messages, different daily limits, different target lists — all under one Loylty account. After two weeks, you have response data from all three segments. If fence contractors are responding at 2x the rate of HVAC, you know where to focus your list-building efforts and where to increase your daily limit. If roofing is underperforming, you adjust the message before spending more submissions.

This parallel testing approach is only possible with the campaign structure that Loylty provides. Ad hoc outreach gives you no way to isolate variables or compare performance across segments. The campaign structure is what makes this channel measurable.

Planning note: Running 3 campaigns at 50 submissions/day each = 150 submissions/day across your account. Size your plan accordingly, or stagger campaign start dates to stay within your daily account limit.
Measurement

Campaign Metrics That Matter

Loylty tracks submission-side metrics automatically. Response-side metrics (replies, conversions) happen outside the platform in your email and CRM — but knowing what to track on both sides is what lets you improve over time.

What percentage of your target list was successfully submitted. If this is below 85%, check your URL data quality. Common causes: outdated URLs, businesses that have closed, or sites with no contact form.

Approval Rate

What percentage of generated messages you're approving in the review queue. If it's below 70%, your template guidelines need adjustment. The AI is generating from your instructions — a low approval rate means the instructions need refining.

Response Rate

How many businesses reply to your submission. Tracked manually in your email inbox — responses come to your sender email address. This is the metric that matters most for evaluating message quality and target fit.

Conversion Rate

Of businesses that replied, how many became actual leads or customers. This happens entirely outside Loylty — in your sales process. Track it in your CRM by tagging contacts who entered via contact form outreach.

Industry benchmarks are still forming for contact form outreach — the channel is genuinely new. Based on early data from active campaigns, response rates of 2–5% on targeted campaigns are achievable. A 3% response rate on 100 submissions/day produces 3 new conversations per day, or roughly 60 new conversations per month from this channel alone.
